Terms of Service

  1. Service. The AI Root Cause Analysis ("RCA") application is a professional support tool that helps structure incident analysis, findings, and corrective / preventive actions (CAPA) using user inputs and AI-generated suggestions. It does not replace your organisation’s own manuals, procedures, or responsibilities under applicable maritime law, flag/class, ISM, PSC, vetting, or internal policies. Access is granted through plans and, where applicable, subscriptions; some features may require upgrading or acquiring a new plan.
  2. Accounts, Codes & Access. Access is provided through activation codes, plans, and/or subscriptions. You are responsible for keeping codes and any account information secure and ensuring they are only used by authorised personnel in your organisation. You must provide accurate information (including, where required, fleet size and intended use) and keep it up to date.
  3. Use & Fair Use. Use of the Service is subject to the limits of your plan (for example, time, number of sessions, or scope). We may apply Fair-Use safeguards or rate-limiting if sustained usage clearly and repeatedly exceeds what is normal or reasonable for the selected plan. We do not deliberately interrupt an in-progress session except where there is abuse, security risk, non-payment, or technical necessity. Trial sessions are time-limited and provided solely to help you decide whether the Service fits your needs before buying a plan.
  4. Outputs & Human Oversight. AI and tool outputs may be inaccurate, incomplete, or not fully aligned with evidence or real-world conditions. They are recommendations and drafts only. You must exercise professional judgment, validate outputs against your own procedures, evidence, and expert assessment, and you remain fully responsible for any conclusions, CAPA, and reports you issue or submit to third parties.
  5. Intellectual Property & License. All rights, title, and interest in and to the Service, the underlying software, configuration, templates, and manuals remain with AI Maritime Insights / Pavlos Evgenikos. You receive a limited, non-exclusive, non-transferable license to use the Service internally within your organisation while your plan or subscription is valid. You may not copy, reproduce, distribute, sell, resell, sublicense, publish, or create derivative works based on the Service, access codes, or manuals, and you may not attempt to reverse-engineer, decompile, or bypass technical protections, except where we give you explicit written consent. Any unauthorised reproduction, sharing, or resale may lead to immediate suspension or termination of access and may expose you to civil and/or criminal liability under applicable law.
  6. No Warranties. The Service is provided “as is” and “as available”, without warranties of any kind, whether express or implied, including but not limited to warranties of accuracy, completeness, merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the Service will be error-free, uninterrupted, or that it will meet all requirements or expectations.
  7. Limitation of Liability. To the maximum extent permitted by law, our aggregate liability for any claim arising out of or relating to the Service is limited to the total fees you paid for the current subscription or plan period in which the event giving rise to the claim occurred. We are not liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, data, or business interruption, even if we have been advised of the possibility of such damages.
  8. Acceptable Use. You will not use the Service for unlawful purposes, to generate or distribute illegal content, or in violation of sanctions or export controls. You will not attempt to overload, disrupt, or bypass security measures of the Service. You must not rely on the Service for emergency, life-critical, or safety-of-life operations. You are responsible for ensuring that use is consistent with applicable law and your organisation’s policies for safety, incident investigation, and data protection.
  9. Payment, Taxes & Refunds.
    • Subscriptions. Subscriptions renew automatically unless cancelled before the renewal date. Cancelling stops future renewals only; the current billing period is non-refundable once access has been granted and codes/keys issued, except where mandatory law requires otherwise.
    • Plans. Plans and activation-based access (including BASIC/PRO/ENTERPRISE or similar options) are non-refundable once codes or keys have been issued, or once the plan period has started, even if you do not use all sessions or time. Where plans bundle additional apps (for example FRA complimentary access) or expert services, those components follow the same non-refund principle once access or work has started.
    • Fair Use. Usage is subject to the Fair-Use rules of your plan. Where sustained usage clearly exceeds the agreed plan, we may propose an upgrade or apply reasonable technical limits; we do not interrupt an in-progress session except in cases of abuse, security risk, or technical necessity.
    • Customization (one-time services). Custom work such as tailoring reports, templates, or procedures is agreed separately. Once payment has been made and work has started or delivery has begun, fees are non-refundable, except where required by law.
    • Processor fees. If a refund is exceptionally approved, payment processor and card network fees, currency conversion charges, and similar costs are not returned by the processor and will not be refunded.
    • Taxes. Unless explicitly stated otherwise at checkout, prices are exclusive of VAT and any other applicable taxes. You are responsible for any taxes that apply to your purchase.
    • Disputes & chargebacks. In case of card disputes or chargebacks, access to the Service may be suspended while the dispute is investigated. Outcomes determined by Stripe or the card network may be binding, and any network or processor fees arising from unjustified chargebacks may be passed through.
    • No offset. Refunds, credits, and adjustments are limited to what is expressly stated here or agreed in writing; no other set-off or offset of fees is permitted.
  10. Termination. We may suspend or terminate access immediately in case of breach of these Terms, suspected fraud, abuse, non-payment, or misuse (including unauthorised sharing of codes or manuals). You may cancel a plan or subscription according to the Refund / Cancellation Policy below; cancellation stops future renewals and access at the end of the paid period. Upon termination, you must stop using the Service and follow any instructions regarding removal of access and data.
  11. Data & Privacy. We process only the data needed to operate subscriptions and the Service, including basic account/contact details, plan information, activation codes, and minimal technical logs (for example timestamps and error logs). Analysis content is processed transiently for the purpose of generating outputs; long-term storage happens only where you explicitly choose to save or export data to your own systems. We do not sell personal data.
  12. Changes. We may update these Terms, plans, or aspects of the Service from time to time. For material changes we will notify you by email, via the main site, or in-app. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
  13. Governing Law. These Terms are governed by the laws of Greece. The courts of Athens have exclusive jurisdiction over any dispute arising out of or in connection with the Service, subject to any mandatory consumer or local law that cannot be waived.

Privacy Policy (Concise)

We collect only what is needed to operate subscriptions and provide the Service: account and contact details (such as name, email, company name), plan and activation information, and minimal technical logs (timestamps, limited error logs, basic usage counters).

Payments are processed by third-party providers (for example Stripe). They handle your card details; we do not see or store full card numbers. We receive only high-level payment information (amount, time, status, plan) to match it with access codes and subscriptions.

Text and data sent for analysis are processed by our backend and AI providers to generate outputs. By default we do not store these inputs or outputs long-term on our own servers, other than transient logs needed to operate and secure the Service. Exported or saved reports are stored only where you choose to keep them (for example your local systems or storage).

Our main legal bases include contract performance (providing the Service you requested), legitimate interests (service security, abuse prevention, high-level analytics), and consent where required by law.

Processors/sub-processors may include: Cloudflare (edge/security, DDoS protection), hosting providers, privacy-friendly analytics, and payment processors. Data is primarily processed in the EU/EEA or with appropriate safeguards for any transfers.

Retention: account and billing data are kept for the period required by law (for example for accounting and tax), and basic technical logs are kept for a limited time for security and service quality. Test/demo data may be purged automatically after the relevant demo or trial expires.

Your rights (where applicable, for example under GDPR) include: the right to access, rectify, erase, restrict processing, data portability, and the right to object to certain processing. To exercise these rights, contact contact@aimaritimeinsights.com.

We do not sell personal data.

Support & Professional Services

A detailed Application / User Manual is provided upon activation or as part of your plan, explaining the workflow, recommended practices, and limitations of the tool.

Standard support is provided on a best-effort basis via email for technical issues with access, activation codes, and normal use of the application. Where agreed, remote sessions or calls may be provided; scheduling is subject to availability.

Non-binding response targets: we generally aim to respond within 1–2 business days during normal working hours. For urgent issues clearly flagged as such, we will make a best-effort to respond within the next business day.

Expert Verification Service

Some plans include, or allow as an add-on, an Expert Verification service, which is a human review of AI-assisted RCA outputs.

Security Overview

All traffic is encrypted in transit using HTTPS/TLS. The public perimeter of the application runs behind Cloudflare, which provides web application firewall (WAF), DDoS protection, and rate-limiting. API calls are isolated behind Workers or similar backend components with access controls.

Data at rest is stored by our cloud providers on encrypted storage. We do not by default store the full text of findings or incident narratives except transiently to process your requests; durable storage of reports happens only where you explicitly choose to export or save them. Configuration and essential metadata may be backed up periodically for resilience.

Access to administrative tools is restricted to the Owner and authorised personnel only. Credentials and keys are rotated periodically. We monitor logs for abuse and security anomalies and may apply additional protections when needed.

AI Output & Responsibility Disclaimer

AI outputs may be inaccurate, incomplete, or inconsistent and can change as models are updated. They are tools to support, not replace, professional judgment and established procedures. You remain solely responsible for reviewing, validating, and implementing any analysis, CAPA, or report produced with the help of this Service.

The Service is provided "as is" without warranties. Our liability is limited as described above; we are not liable for indirect or consequential losses, including loss of profit, reputation, or business opportunities arising from the use of, or inability to use, the Service.
